PROGRAM ENROLLMENT POLICY

WHAT OPEN ENROLLMENT IS

We have adopted what we call our OPEN ENROLLMENT approach to most of our programs (such as Youth Swim Lessons). Parents simply sign up a child for a class, starting right away and participating until you’d like to stop (or until you’d like to switch to another class).

Programs are charged monthly. You can also enroll or transfer into classes throughout the year. Start swimming, tumbling or playing the week you register.

If you begin the program from the 1st-15th of the month, you’ll pay the full monthly fee for the first month. If you begin the program after the 15th, you’ll only pay 50% of the monthly fee for the first month. Going forward, the monthly fee will draft from your credit card or bank account on the 1st of each month.

Certain programs may run in shorter month sessions, but enrollment will also be open throughout the month and there will be options to continue in classes afterwards. Sports leagues run on a season basis. We will offer Summer programs in June, July and August.

MORE DETAILS ABOUT MONTHLY ENROLLMENT

  • Monthly programs are a continuous enrollment plan. The monthly draft will occur on the first of the month and cover the period until the next month. It is the participant’s responsibility to review their monthly bank or credit card statement to verify accuracy of program draft.
  • Most of our programs are school year based and run from September – June. When registering for a program in branch or online, the dates when it is available will be listed so you know the duration that your enrollment covers.
  • If a class does not meet minimum enrollment we will make every effort to find a similar class at a day and time that fits your schedule. If the YMCA cancels the class, a full refund will be issued.
  • A YMCA refund will be issued if a participant is unable to attend a program due to a prolonged illness or injury. Please provide a doctor’s note. The refund will be limited to the fees for the current month of the program.
  • If the YMCA cancels a particular class due to instructor illness, every effort will be made to offer a makeup class; if this is not possible, then a credit for the class missed will be issued.
  • If the YMCA cancels a class due to inclement weather or some other unforeseen reason, there will be no refund given.
  • In the event that the facilities were to close, a credit to reflect the time period of the facility closure would be applied to the following month’s charge. This would not include holiday or weather related closures.
  • The YMCA does not issue credit, refunds, or make-up classes when participants miss a class for personal reasons.
  • Annual breaks in program schedules:
    • Our Y does close to observe select holidays, so our staff can enjoy the time to relax and recharge.We will not offer programs on Easter, Memorial Day, Fourth of July, Labor Day, Thanksgiving, or the day after Thanksgiving.
    • Our Y does not run programs after 5:00 PM on Halloween.
    • Our Y does not run programs December 23 through January 1 (classes resume on January 2, 2025) and the last week in August for staff training and facility maintenance.
    • Due to school vacation weeks and the changes to schedules that many families face, our program classes will not run during February break and during April break. School vacation break programs will be available for registration in each branch for families looking to enroll their children.
    • The final week of programs in June will be dependent on the school schedule for the particular year, and announced before the beginning of June.
  • Parents/Guardians of children under 12 years of age participating in our programs are required to accompany their children to and from the location of the program (i.e. pool, studio, gymnasium, etc.) and must remain in the YMCA building should they be needed. Should a parent or guardian leave the area of the program, they MUST inform the instructor where they can be found. This procedure has been established for the protection and safety of all children within YMCA programs.
  • Program satisfaction: we place great value on the satisfaction of our program participants. If a program is not meeting your needs for any reason, please notify the Program Director.

HOW TO CANCEL YOUR ENROLLMENT

When the class no longer fits your schedule, let us know by the 15th of the month so we can remove you from the roster for the following month and cancel your next draft. Notify us that you would like to cancel your current monthly program by completing the submission form at www.hockymca.org/program-change-form. You will be able to attend the class through the end of the month, and you will not be charged for the program the following month.

HOW TO SWITCH TO ANOTHER CLASS

Notify us by the 15th of the month that you would like to cancel your current monthly program by completing the submission form at www.hockymca.org/program-change-form.

Submitting the form tells us that you would like to withdraw out of your current program at the end of the month, and you will not be charged for the current program the following month. Then register either online or in a branch for the new program you would like to begin. Your roster spot in the new program will be secured starting the first of the month, and you will begin billing for the new program on the 1st of the month.
